Onboarding Process

Now that we have the contract signed we will start with the fillowing process. Don't worry, sit back and relax you have done the hard part so let us handle it from here out. If we need your help with something we will reach out. We will keep you apraised of each step but this page is where you can find all of the details on what we are doing. Its important to note that anytime after Step 2 we are able to start management. ​

STEP 1

We will start by reaching out to your prior management to obtain the following items. With this information we will be able to set you up in our computer system.
  • Homeowner List with Phone, Email and Aailing Address
  • All Governing Documents
  • Tax ID #
  • Last Years Taxes
  • Last Set of Financials
  • Current Assessment Amount and How Often
  • Send Link to Upload Computer Files

STEP 2

  • We will send you bank signature pages to open the new bank accounts. It is up to the board who is a signer on the accounts. It can be everyone or what ever you choose. 
  • We will send the board a copy of our welcome letter to homeowners to proof. Once approved, we will mail letter to all homeowners.
  • We will then post the property sign to the right at the entrance of your community so the owners know to keep an eye out. We have found that the sign helps get them to read their mail.

  • We will request a vendor list from your prior management, contact them & set them up in our system. At the same time we will request a copy of any outstanding invoices. 
  • We will email a financial spreadsheet letting the prior management know exactly what we need for your records. 
  • We will contact the Insurance agent and request a Certificate of Insurance with EMG named as additional insured. 
  • We will call all of your utilitiy companies and get these switched over to our office (provided that we have funds in your bank account we set up all utilities on autopay) For our purposes we consider utilities to be: Water, Power, Trash, Insurance

  • We will follow up with the prior managmenet to make sure we have all information on the financial spreadsheet
  • We will schedule with prior management to pick up any hard files or flash drives they may have
  • By this time we generally start receiving phone calls from homeowners and fielding any questions they may have.

  • Schedule Accounting System Video Training Call with Board Members
  • Manager to Schedule Regular Board Meetings and add to the Calendar - Financials will be scheduled for 1 week prior to Board Meeting
